Website Use Guidelines
Please see below answers to frequently asked questions about using the IIA SA member community system.

Important:

If you are an existing IIA SA Member, a profile has already been created for you on the system.

Please do not create a new Website user profile as the membership account has elevated permissions giving you control over your profile, automatically applying membership discounts when you register for events or make purchases from the online store and has access to member only areas and other features reserved for Members.

Logging in for the First Time
  A. e-mail address has not changed:
   
  1. Go to our website (www.iiasa.org.za) and click the 'Forgot your Password' link under the 'sign in' section on the right hand column of the home page.
  2. Once you have clicked the link, enter the e-mail address (that this mail was sent to) and complete the validation question, then click 'Reset Password' button.
  3. You will receive an e-mail from iiasouthafrica@iiasa.org.za with a link to reset your password. On the page that opens, enter your preferred password and click the 'reset password' button.
  4. If you do not receive the password reset e-mail, please check
    your your spam or junk mail folder as the"Reset Password"
    email may be treated as Spam.
  5. Your username will be displayed on the confirmation of reset page. You have full control over your username and password and we strongly suggest that you change your username and password to something that will be easy for you to recall
  B. Your e-mail address has changed
    If the above automated reset password process did not work or you no longer have access to the e-mail address associated with the profile then click here to request website access.

Please note: If you do not receive the password reset e-mail, please check
your your spam or junk mail folder as the"Reset Password"
email may be treated as Spam.

Please add the domain 'iiasa.org.za' as a 'safe sender' or check with your IT department that your server is not marking our emails as spam or junk mail to make sure you receive e-mails from the IIA SA.

Updating your details
 

One of the great features of the system we have implemented is that Members now have the power to manage their own profile so you can update your information online.

  1. Login using your username and password.
  2. Click on the 'Manage Profile' link that appears in the right column.
  3. In the screen that opens, click on the 'Edit Bio' icon (in the centre column).
  4. In the page that opens, fill in the form to update your details.
  5. Click the 'save changes' button at the bottom of the form to confirm your changes.

We imported as much of the data from our previous database as was possible. However, as the structure of the new database is very different, we were not able to import all of your previous information. In addition, we have also added a number of new fields that will assist us in fine-tuning the services and communications which we deliver to you. We therefore need you to take some time, when you first log in, to update your information and fill in the blanks for us.

Changing your Password
 
  1. In the above 'Edit Bio' screen, click on the 'change' link
  2. In the pop up window, enter the current password, new password and confirmation of new password fields
  3. click on the 'Submit' button

Please note that some browsers block pop-up windows. It is recommended that you select the 'always allow pop-ups from this site' option.

Manage visibility of fields
 

Individuals are able to amend the visibility of certain fields to one of the below options:

  • Private (not visible in profile)
  • Member Only (Visible Only to Members)
  • Public (Visible to Everyone)

To change a visibility setting on a field, click on the 'Lock icon' to the left of the field name and select the setting you prefer. The default setting is Private (not visible in profile). Should you wish to alter this setting, the IIA SA recommendation is to set to Member Only (Visible Only to Members) in order to protect your personal information.

If your email address is Private (not visible in profile) it will not be displayed, but members can still contact you via email through the site's group email system.

View your Invoices
 

Members can also review invoices and payment information.

  1. Login using your username and password.
  2. Click on the 'Manage Profile' link that appears in the right column.
  3. In the screen that opens, click on the 'Invoices' icon (in the centre column).
  4. In the page that opens, you will be able to view your invoices and balances.
  5. To open, view or reprint your invoice click on the 'Invoice Icon'
  6. If your payment has been processed, this will display on your invoice (please see below for more information if your payment is not reflecting correctly)

Important:

When making payments, please pay the exact amount as indicated on the invoice and make use of the reference number provided.

  A. Information on the Invoice is Incorrect / Outdated:
   

If your information has changed and the invoice needs to be updated / corrected or you require a VAT number to be displayed on your invoice:

  1. Update your details in your profile
  2. Send a request to membership@iiasa.org.za with the subject line "Update Membership Invoice"

The information on your invoice will not automatically be updated when you update your profile.

  B. Payment is not reflected on the Invoice
   

Please note that it can take up to three days for your payment to reflect in our bank account (depending on who you bank with) and up to 7 days for payments to be matched, allocated and processed on the system.

If your payment is still not reflected after 10 days, It is possible that the amount has not been identified and processed (there are times when the reference provided by the bank is so generic, and the invoice value is common, it is not possible to identify the source of the payment). If this is the case, please submit a proof of payment, or give us an indication of the date on which payment was made, and / or the reference you would have used, so that the payment can be traced and allocated accordingly. Submissions should be made to debtorsclerk@iiasa.org.za

Important:

If you have paid, but the payment is not showing, please do not click on the red remove arrow on your membership invoice as represents a cancellation of your membership with the IIA SA and prevents proper allocation of your payment to the invoice

  C. My Invoice does not print correctly
   

To print your invoice without the HTML header and Footers, navigate to the Settings / Customise Section of your browser, Select Print / Page Setup option and select 'empty' or 'blank' under the different Header and Footer Options.

  D. Group Membership Billing Agreements
   

Membership renewal invoices are generally generated automatically. If your profile has no membership invoice, the following scenarios can apply:

  • If your membership is paid for under a Group Membership Billing Agreement, a single invoice for multiple members would have been generated for your organisation as part of a seperate process. In this case, please ensure that the 'Membership Payment made by' setting under the 'edit bio' is set to 'Organisation (part of Group Invoice)'
    • If you would like to confirm you have been included on a group invoice, please check:
      • That your organisation name is correct on your profile
      • That there is a group Named 'Membership: Group Billing: Organisation Name' under the 'Groups' indicated in your profile.
  • If your organisation is part of a Group Membership Billing Agreement, but your payment is made seperately, then please ensure that the 'Membership Payment made by' setting under the 'edit bio' is set to 'Organisation (part of Group Invoice)'
  • If your membership was previously paid for under a Group Membership Billing Agreement, but you have since change companies, please update your profile and then send an e-mail to membership@iiasa.org.za to request an invoice.

Please check under the invoices section of our profile for any outstanding invoices before creating a new membership dues invoice.
